Balloting at Annual Meeting

Ballots for contested Directorships will be provided to residents upon check-in at the Annual Membership Meeting by the Nominations Committee. Each resident is validated (shows proof of residency) then receives a numbered ballot and updates are made to the Master Roster accordingly.  

Balloting procedures will be verbally explained to the members present at the meeting.  Procedures explained will include (but are not limited to):

  • Voting is limited to active members, who pay dues and live within the District
  • There will be a maximum of two votes per household 
  • Ballots violating either of the two requirements above will be discarded
  • The time and place (7:00-7:30 pm at the Annual Meeting) where ballots are to be submitted
  • The identity of the inspectors who will tally the votes

Residents are given an opportunity to hear a brief 2 minute presentation from each candidate reviewing their platform. Time will be monitored.  The residents then vote, folding the ballot such that the votes are hidden and only the ballot identification number is visible.  The ballot is then placed in a secure receptacle, which is to be kept in plain sight at all times. The three appointed election inspectors shall take the ballot receptacle to a secure area for tallying.  Ballot tabulation will be handled solely by election inspectors.

Announcement

Balloting results will be announced at the meeting by the Chair of the Nominations Committee as received by the election inspectors.  The election results will be announced to the membership at large in a Constant Contact resident email and will be posted on our web site within a week after the Annual Meeting.

Your vote counts at the upcoming Annual Meeting on Wednesday, May 17, 2023

If you cannot attend the Annual Membership Meeting, an absentee ballot can be requested by every active member household.  Voting shall be by individual adult members who are at least 18 years of age, with a maximum of 2 votes per household.  DO NOT DUPLICATE BALLOTS.

Absentee Ballots and Notification

Absentee ballots will be made available to dues paying members upon request to the Chair of Nominations, Jack Raab -  jraab@historicbostonedison.org by phone (818) 900-8639

The Chair of Nominations will number ballots and record requesting active member households. Return absentee ballots to the Chair of Nominations, 70 Edison on or before 12:00 Noon May 17, the day of the Annual Meeting using a sealed envelope. The name, address and unique Absentee ballot ID should be on the OUTSIDE of the envelope for each voting member.  Do not duplicate ballots. All duplicates with the same Absentee Ballot ID will be discarded.  Only ballots with unique Absentee ballot IDs will be tabulated and must match the documentation.  The Chair of Nominations will deliver the Absentee ballots to the Nominating Committee members at the Annual Meeting, along with the log of identifying information which specifies the household of origin of each Absentee ballot.  The Absentee ballots will not be opened until the Annual Meeting, when they can be witnessed by the appointed election inspectors. Residents who have submitted Absentee ballots will be noted on the Master Roster used to check-in all voters to prevent dual submission. 

Electronic Balloting

The following is the criteria for voting for the HBEA Board of Director's Election for Zone B:

  • Voting is limited to current HBEA members, who pay dues and live within the District
  • There will be a maximum of two votes per household 
  • Ballots violating either of the two requirements above will be discarded
  • The time and place: 7:30 pm at the Annual Meeting; where ballots are to be counted
  • The identity of the inspectors who will tally the votes
  • Votes from households of non-dues paying members will not be counted, as they are not eligible voting members
  • Voting is open 8:00 a.m. Friday, May 12, 2023 and ends on Sunday, May 14, 2023 at 5p.m.
  • If you vote electronically DO NOT submit a paper copy.

Votes are confidential and will only be accessible to the official HBEA elections Teller. Address and name are required for verification of eligibility.

The announcement of results will be provided Wednesday, May 17, 2021 before the end of the Annual Meeting
